What this notice covers
Strike Reports records how children are progressing in PE lessons delivered by Strike Education coaches, and lets school staff see that record.
There are two different relationships in this service, and they work differently.
Information about children
Your school decides what is recorded, why, and for how long. Your school is the controller; Strike Education is the processor, and we act only on your school’s documented instructions under a signed data processing agreement. If you are a parent or carer and want to know what is held about your child, ask your child’s school — they will ask us, and we will provide it.
Information about the people who use the service
Strike Education is the controller for account information about coaches and school staff who sign in — because we decide to hold it in order to run the service.
This notice explains both.
Information about children
What is recorded
- First name and last name
- A middle initial, only where two children in a class share a name
- The school’s own pupil reference from its management information system, where the school provides one
- Class and year group
- Date of birth, only where a school provides it to tell two children apart
- Attendance at PE sessions
- PE attainment, recorded as below, at, or above expected
- Short notes written by the coach about PE progress
- A yes-or-no marker showing that a child has additional considerations the coach should allow for, with no detail, no reason and no diagnosis
What is not recorded
Addresses, contact details, parent or carer information, photographs, video, medical information, special educational needs detail, safeguarding records, or anything at all about a child outside PE.
The service is designed so that Strike Education does not hold special category data about children.
Safeguarding
Notes in Strike Reports are for PE progress only. Every notes field says so, in wording that cannot be changed or dismissed. Any safeguarding or welfare concern is reported to the Designated Safeguarding Lead through Strike Education’s existing safeguarding process and is never recorded in this service. Strike Education’s Designated Safeguarding Lead is Samir Ali.
Lawful basis
Your school determines the lawful basis, ordinarily the performance of a task carried out in the public interest. Parental consent is not required, and PE attainment forms part of a school’s ordinary curriculum record. Your school’s own privacy notice to parents should list Strike Education among its suppliers.
Children do not use this service
No child holds an account and no child can sign in. Only school staff and Strike Education employees use it.
No decisions are made automatically
Nothing in this service makes a decision about a child. Where a repeated pattern in recorded marks is brought to a school’s attention, the message describes what was recorded and stops there. No action follows automatically, no child is ranked against another, and nothing about a child is predicted or inferred.
Information about people who sign in
If you are a coach or a member of school staff with an account, we hold:
- Your name and email address
- Your role, and which school or classes your account can see
- When your account was created, approved, and by whom
- When you last signed in
- A record of marks and assessments you entered, and when
We hold this to run the service, to control who can see children’s information, and to keep records accurate and accountable. Our lawful basis is legitimate interests — specifically, operating a service a school has asked us to provide, and being able to show who recorded what.
Accounts exist only because Strike Education created them. There is no public sign-up. An invitation on its own grants no access until a named person at Strike Education approves the account and sets what it can see.
Emails we send
The service sends email to people with accounts:
- Invitations and password resets
- A reminder to a coach when a session has not been recorded
- A weekly summary to school staff who have chosen to receive it
- A message when a repeated pattern appears in a child’s recorded marks
The weekly summary and pattern messages contain the names of children the recipient can already see in the service. Nothing is disclosed to anyone who could not already see it, but email leaves the school’s control once delivered. Any member of staff can turn these messages off without losing access to the service. Invitations and password resets cannot be turned off, because they are needed to use the account.
Where the information is held
Information is stored and processed in the United Kingdom and the European Union.
| Supplier | What they do | Where |
|---|---|---|
| Supabase | Database and sign-in | London |
| Vercel | Runs the service | London |
| Resend | Sends email | European Economic Area |
| Sentry | Records technical faults so they can be fixed | European Union |
Where a supplier could access systems from outside the UK for support purposes, that access is covered by the transfer safeguards set out in our agreement with your school. Schools are told before this list changes.
Fault reports
When something goes wrong, the software sends us a fault report so we can fix it. These reports are stripped of personal information before they are sent: they contain no pupil names, dates of birth, class lists or attainment records. They do record the approximate location — country and city — of the server that reported the fault, which is one of ours rather than a school’s. They do not record IP addresses. Fault reports are held in the European Union and deleted after 90 days.
How long it is kept
Children’s records are kept until the end of the academic year following the one they relate to, and are then deleted. Deletion is carried out by a named member of Strike Education staff, who is prompted once records become due.
Account information is kept while the account is active. When someone leaves, their account is suspended rather than deleted, so that marks they recorded remain correctly attributed. Account records are removed when a school’s contract ends.
If your school stops working with Strike Education, the school receives a full export of everything held for it, and our copies are deleted.
How it is protected
- Encrypted in transit and at rest
- Who can see what is enforced inside the database, not by hiding parts of the screen. A class teacher’s account returns nothing for another class’s children, however the request is made, and no school’s information is reachable from another school’s account
- One account per person. No shared logins. Passwords must be at least ten characters
- Signing in again ends the previous sign-in. The earlier session can no longer be renewed and stops working within one hour. An account cannot stay signed in on two devices
- When someone leaves, their access ends immediately rather than at their next sign-in
- Coaches record on Strike-issued devices assigned to a named individual, not personal phones. The app stores no copy of pupil information on the device. Files you deliberately download are the exception, and are your school’s to look after
- Every mark records who entered it and when. A coach can correct their own work for fourteen days; after that only Strike Education leadership can change a record, and the change is recorded
- Every export of a child’s record, or of a school’s information, is logged with who requested it and when
Your rights
If you are a parent or carer, contact your child’s school. Your school is the controller for information about your child, and we will provide whatever it needs to respond.
If you have an account, you have the right to ask us for a copy of the information we hold about you, to have it corrected, to object to how we use it, and in some circumstances to have it deleted. Some records cannot be deleted while they remain necessary — a mark you recorded stays attributed to you, because a school’s record of who assessed a child has to remain accurate.
To exercise any of these, contact dataprotection@strikegroup.co.uk.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113.
Changes to this notice
If we change how the service handles information, we update this notice and change the date at the top. Schools are told directly about anything that affects how their pupils’ information is handled.
